BASIC FUNCTION SUMMARY:
The Assistant Marketing Manager is a newly created role on ePromos' marketing team, built to support the Senior Marketing Manager across a high-volume, multi functional workload. This position bridges a critical scope gap by taking day-to-day ownership of campaign project management, internal communications, email program oversight, budget administration, and brand compliance, freeing senior leadership to focus on strategy, enterprise client work, and business development.
The right person is organized, proactive, and comfortable moving between execution and coordination without losing momentum. They bring 2-4 years of marketing or project management experience, a strong command of tools like Jira and HubSpot, and a genuine desire to grow within a fast-paced, women-owned business that rewards initiative and attention to detail.
ESSENTIAL FUNCTIONS: Duties, Skills, Responsibilities, and Expectations:
Campaign Strategy & Management
- Own the campaign briefing process: develop creative briefs, define objectives, audiences, timelines, and success metrics in partnership with the Senior Marketing Manager.
- Lead campaign planning sessions, ensuring cross-functional alignment across design, copy, email, and social teams before a campaign enters production.
- Maintain and manage the master campaign calendar, proactively identifying conflicts, gaps, and sequencing opportunities.
- Drive strategic ownership of individual campaigns from brief through launch, escalating decisions to the Senior Manager only when scope, budget, or stakeholder approval is required.
- Manage the Jira campaign board: triage tickets, update statuses, flag blockers, and maintain visibility on campaign health across all active initiatives.
- Run campaign retrospectives and compile performance summaries for the Senior Manager's review.
Internal Communications Program
- Serve as the coordinator and oversight lead for the internal communications program, managing the editorial calendar and ensuring all scheduled communications are planned, briefed, and delivered on time.
- Oversee the monthly internal newsletter: coordinate contributor submissions, route drafts for approval, and ensure timely distribution in partnership with the Marketing Assistant.
- Coordinate internal announcement cadences across departments, working with stakeholders to gather content and route approvals.
- Maintain internal communications documentation, archives, and shared resources to ensure continuity and institutional knowledge.
- Review outgoing internal communications for tone, accuracy, and brand consistency before distribution.
- Serve as the managerial point of contact for the Email Marketing Specialist, providing direction, feedback, and review on campaigns rather than hands-on execution.
- Review email briefs, creative drafts, and performance reports; provide strategic feedback and ensure alignment with campaign objectives before escalating to the Senior Manager.
- Own the email program calendar, tracking all deployments, A/B tests, and reporting cycles across campaigns.
- Monitor email performance metrics (open rates, CTR, conversions) and identify optimization opportunities to present to the Senior Manager.
- Support the management of lifecycle marketing programs in coordination with the agency partner, serving as the day-to-day liaison for project tracking, asset delivery, and approval cycles.
- Review lifecycle content and automation sequences developed by the agency for accuracy, brand alignment, and strategic fit before Senior Manager sign-off.
Administrative & Budget Support:
- Manage oversight of marketing department administrative operations: maintain shared drives, file structures, and asset naming conventions.
- Track vendor relationships and maintain the vendor log; coordinate invoice submission, routing, and approval in partnership with the Senior Manager.
- Support the Senior Marketing Manager in maintaining the marketing budget tracker, logging actuals, and flagging variances.
- Assist in preparing budget reporting summaries, spend forecasts, and end-of-quarter reconciliations.
- Coordinate purchase order and invoice workflows to ensure marketing expenses are tracked, approved, and submitted accurately.
- Support the management and rollout of new brand programs, ensuring consistency of guidelines across departments, vendors, and external-facing materials.
- Coordinate the ongoing brand refresh initiative: track progress across departments, manage asset delivery timelines, and maintain brand standards documentation.
- Review internal and external collateral for brand compliance; serve as a first-line brand steward before escalation to the Senior Manager.
- Research, track, and manage submission timelines for industry awards and recognition programs (e.g., WBENC, women-owned business certifications, industry lists).
- Draft and coordinate awards submissions and PR materials with input from the Senior Manager and relevant stakeholders.
- Support earned media and publicity efforts: maintain a media contact list, assist in coordinating press releases, and track coverage.
- 4 years of marketing, communications, or project coordination experience.
- Demonstrated ability to manage multiple competing deadlines with precision and composure. • Experience with project management tools such as Jira.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong written communication skills with acute attention to detail.
- Experience supporting email marketing campaigns and familiarity with email platforms (HubSpot or equivalent).
- Comfort working in a fast-paced, high-output marketing environment with minimal handholding. Preferred
- Background supporting RFP or proposal processes in an agency or B2B marketing environment.
- Familiarity with branded merchandise, promotional products, or the ePromos product ecosystem.
- Experience in a shared services or agency model supporting multiple internal or external clients.
- Understanding of CRM systems, particularly NetSuite or HubSpot.
- Associate's or Bachelor's degree in Marketing, Communications, Business, or a related field.
